| | | | | Quotations - Quotation Worksheet: The user will specify the Quotation Date, Region, Contract Type, Contractor Details, Client Details (if different to Contractor), a brief description of the project or contract and Quotation Expiry Date. The System will assist the user in preparing quotations by making available all pre-defined lists activities and sub-activities with their respective costs and charges, and automatically calculating extended prices, costs and anticipated profit. The user may also specify terms of payment and enter any comments if available. The System may be set up to automatically generate quotation numbers.
- Quotation ‘Status’: A quotation may be New, Presented, Revised, Accepted, Cancelled or Rejected. Initially, the quotation will have the status ‘New’.
- cheap hotels in KarpunPrinting Quotations: The user will have the option to print ‘Quotation Worksheet’, or print final ‘Quotation’. After printing the final Quotation, the status will automatically change to ‘Presented’. Presented quotations may not be modified.
- Revising Quotations: ‘Presented’ quotations may be revised into ‘new quotations’. The System will automatically create a new quotation - based on the quotation being revised.The new quotation may then be modified as necessary.
- Accepting Quotations: On acceptance of quotations, the System will, if requested to do so, automatically create a ‘contract record’ based on the quotation in question. In this case, the quotation details (prices and costs etc.) will form part of the ‘budget’ section on the contract record.
- Rejecting & Cancelling Quotations: The System includes a special routine for this purpose, where the user may select the status as ‘Rejected’ or ‘Cancelled’, and enter the reason for rejection or cancellation.
- Cancelling Expired Quotations: The System provides the facility to cancel quotations which have expired within a user-specified range of dates.
- Customer Follow-up: Details of contacts with the client with regards to specific quotations may be recorded.
- Reports: The System will print a Quotations Report. The user may select ranges of quotation numbers, dates, status and sort option. The System will also print a ‘Customer Follow-up Report’ by quotation.
