| | | | | Contracts - Creating Contract Records: Contract Records may be automatically created when accepting quotations, or may be entered through a special screen designed for this purpose. The Financial Management System, Inventory Management System and Payroll Management System - if integrated - will automatically post to contract records. The System will view a single contract (Sales, Costs and Profit) from three different angles: Current Financial Year (detailed by period), Current Contract (from Contract Renewal Date up to present time) and Entire Contract (from Contract Date up to present time). The System will also calculate and display accruals and prepayments for each ‘open’ (ie current) contract.
- Contract ‘Status’: A contract may be New, Current, Completed (in case of Projects), Suspended, Closed or Aborted. Initially, the contract will have the status ‘New’. The System will automatically change the status from New to Current as soon as transactions are posted to the contract.
- Automatic Renewals: ‘Maintenance Contracts’ may be flagged for ‘Automatic Renewals’. The System includes a ‘Renew Contracts’ routine which will automatically renew such contracts which are due to expire within a user-specified range of dates. Individual contracts may also be renewed manually.
- Closing Contracts: The System includes a special routine for this purpose, where the user may select the status as ‘Closed’ or ‘Aborted’, and enter any comments if applicable. The System will not allow closing of a contract with outstanding balances.
